Payments against an invoice

How a payment against an invoice is recorded depends on the payment method and on whether the company keeps its accounts in Brix.

Cash, card and cheque

If the company has the Tills solution enabled, selecting the {Method of Payment} field on the ~ BASIC ~ tab shows the Payment frame. Cash, card and cheque payments go into the till records in the [ Till Payments ] form.

When an invoice is settled with several different payment methods, Other is selected. For such invoices all individual payments are entered directly in the till form, each time linking them to the same invoice.

Paypal/PaymentGW

  • Companies that do not keep their accounts in Brix (no chart of accounts assigned, e.g. flat-rate sole traders)
When the invoice is approved, Brix automatically enters a bank transfer pay-in. The pay-in is shown in the [ Bank Payments ] form.
  • Companies that keep their accounts in Brix
No pay-in is created. The invoice remains open and no receivable is opened against the card company. The invoice is closed by posting the bank statement when the funds reach the company's account, or by loading the card company's specification file into a journal entry of type SKK or the supplier's specification into a journal entry of type PD in the [ Journal Entries ] form.

Bank transfer, cash on delivery and representation

  • Bank Transfer and Cash on Delivery
No pay-in is created. Companies that keep their accounts in Brix post these payments from the bank statement; companies without accounting enter them in the [ Bank Payments ] form.
  • Representation
Not treated as a payment but as an expense. Such invoices are not normally issued by companies outside the VAT system.
