Chart Of Accounts

This form maintains the accounts Brix posts to — manually in journal entries, bank statements and incoming invoices, and automatically from documents (invoices, goods in, goods out, calculations). Each account carries its properties: settings, analytics, the places where it is offered for selection, its use in the KPI and JOPPD reports, and the stock and expense accounts for stock accounting.

Brix lets accounting firms keep several charts of accounts and assign them to their clients according to the nature of their business — e.g. one chart for manufacturing, one for trading and one for service companies. Each company is assigned one of the available charts at initial setup and posts by it.

Toolbar

  • Document icon — Opens the report menu with the Chart of accounts report; the report is sent, downloaded or previewed as described in Print language.
  • Funnel icon — Shows and hides the list filter.
  • Question mark icon — Opens this help page in a new window.

List tabs

The form has two list tabs:

  • ~ CHART OF ACCOUNTS ~
The list of accounts of the selected chart — the default tab, described below on this page.
  • ~ ACCOUNT CODES ~
Assignment of accounts to the codes Brix uses in automatic postings.

List

About filters and finding data in lists

Filter fields:

  • {Chart of accounts} — Accounts of the selected chart. The pencil icon next to the field opens the charts_of_accounts dialog to edit the chart's settings; when the field is cleared, the icon for opening a new chart is shown instead.
  • {Account} — Accounts starting with the characters entered.
  • {Code} — Accounts assigned the selected account code (see ~ ACCOUNT CODES ~).
  • {Show in list}, {KPI}, {Till}, {Analytics}, {Settings} — Accounts with the selected value of the field of the same name in the ~ BASIC ~ tab.
  • {Item Stock Type} — Accounts set as the stock account for the selected stock type in the materials tab.

The {Find} box retrieves a single account regardless of the filter.

Besides {Account} and {Name}, the list shows the columns {Code}, {Show in list}, {Settings}, {Analytics} and {KPI} with the values of the account fields of the same name.

Buttons

Next to the list:

  • COPY — Copies the whole selected chart of accounts into a new chart with a new type (see charts_of_accounts).
  • The icon in the bottom right corner — Opens the Account dialog for a new account.

The Account dialog shows only the buttons valid for the dialog mode: the Add dialog shows SAVE only, the Edit dialog all three.

  • SAVE — Saves the account data.
  • UPDATE POSTINGS — After changing {Account}, moves all existing postings from the “old” to the “new” account, in all companies and all years. Without this button the postings made before the change stay on the old account.
  • DELETE — Deletes the account.

Data tabs

The Account dialog, opened from the list to enter or edit a single account, is divided into two data tabs:

  • ~ BASIC ~
Account, name, synthetic flag, active flag, posting allowed, settings, analytics, show in list, till, KPI, JOPPD data and notes.
  • materials
Stock and expense accounts for stock accounting. Shown only for analytical accounts (four or more digits).

Limitations

The following rules apply when entering account settings and analytics:

  • An account must have the Foreign currency setting to be given the Currency analytic.
  • If an account has the Foreign currency setting, at least one of the analytics Currency, Partners, Individuals or Transient partners must be set.
  • Only one of the analytics Partners, Individuals and Transient partners may be set on an account at the same time.
Setting the Profit centre analytic on all revenue and expense accounts is recommended. Posting by profit centre is performed only in companies with the G_MTP setting enabled (balance sheet kept by profit centre), so the same chart serves both companies that keep profit centres and those that do not.
Setting Open items on an account afterwards has no effect on earlier postings — their lines have no “open” amount, so they will not appear among open items.
