Base price reference dates

Code book of the rules by which Brix determines the reference date of the base price — the day whose price has to be displayed next to the retail price from 1 October 2026 as “Price on DD.MM.YYYY” and published in the price list file. There is no single reference date: for the six FMCG categories from Decision NN 75/25 it is 2 May 2025, for all other products and services 10 September 2026, and new regulations may introduce new dates. That is why the rules are data in this code book rather than constants in the program.

For every item Brix takes the rule of the category entered on the item or inherited from its group (field {FMCG category} in the ~ BASIC ~ and Item Groups tabs), and for items and services without a category the rule All other. Of all rules of that category, the one with the latest {Valid from} date that is not in the future applies.

The data is shared by the whole installation and maintained by support. The form is visible only to users with rights to Menu > Global data.

How to...

  • Adding a new rule
    When a new regulation changes the reference date, the existing row is not edited — a new one is added:
    1. Open the Add dialog with the + icon at the bottom of the list.
    2. Select the {Category} the regulation applies to, enter {Valid from} (the day the regulation takes effect), the {Reference date} set by the regulation and the {Regulation} the rule comes from.
    3. Save with SAVE. From the {Valid from} date Brix uses the new reference date for items of that category, and the older row remains as history.
  • Correcting a rule
    Selecting a row in the list opens the Edit dialog with the basic tab; changes are saved with SAVE.
  • Deleting a rule
    In the Edit dialog the DELETE button opens a confirmation dialog; the deletion is carried out with OK and cancelled with CANCEL. Only the selected row is deleted.

Data

Selecting a row in the list opens the Edit dialog holding the data of one reference date rule. The fields are listed in the order they appear on the screen.

  • {Category} — FMCG category the rule applies to: Food, Cosmetics, Beverages, Household products, Cleaning products, Toiletries, or All other for products and services without a category. These are the same categories assigned to items with the {FMCG category} field in the ~ BASIC ~ and Item Groups tabs.
  • {Valid from} — Date from which the rule applies, as a rule the day the regulation takes effect. From that day Brix uses this reference date for items of that category instead of the one from the older rule.
  • {Reference date} — Day whose price is displayed as the base price (“Price on”). Cannot be later than {Valid from}.
    • If the item had no price yet on the reference date, the base price carries the date of the item's first appearance in the price list instead of the reference date from the rule.
  • {Regulation} — Designation of the regulation the rule comes from, e.g. NN 75/25; at most 40 characters.
  • {Description} — Free one-line explanation, e.g. which decision kept or repealed the rule. Optional.

Buttons

  • SAVE — Saves the rule; the only button in the Add dialog.
  • DELETE — Only in the Edit dialog; deletes the rule after confirmation in the Confirm dialog with OK.
When a new regulation changes the reference date, do not correct the existing rule — add a new one with a new {Valid from} date. Old rows remain as history and explain why a given price carries the date it carries.

Limitations

  • Only one rule may exist for the same category and the same {Valid from} date; an attempt to save a second one returns the message A record with this value already exists. The All other category behaves like any other category here.
  • The {Reference date} cannot be later than {Valid from} — a regulation always refers to a price from the past. The form does not send such a rule to the database but reports The reference date cannot be later than the date the rule applies from.
  • Deleting a rule has no other dependencies — the reference date already assigned to prices in price lists stays recorded with them. Brix can, however, no longer apply a deleted current rule to new prices, so old rows are not deleted but kept as history.
The existing rules (the six categories from Decision NN 75/25 and All other from Decision NN 101/26) are entered by MICRO PROCESS at installation. Change them only on the basis of a published regulation — a wrong reference date means a wrong price on the labels and in the published price lists of every user of the installation.
