Chart Of Accounts

This form maintains the accounts Brix posts to — manually in journal entries, bank statements and incoming invoices, and automatically from documents (invoices, goods in, goods out, calculations). Each account carries its properties: settings, analytics, the places where it is offered for selection, its use in the KPI and JOPPD reports, and the stock and expense accounts for stock accounting.

Brix lets accounting firms keep several charts of accounts and assign them to their clients according to the nature of their business — e.g. one chart for manufacturing, one for trading and one for service companies. Each company is assigned one of the available charts at initial setup and posts by it.

List tabs

The form has two list tabs:

List

About filters and finding data in lists

Filter fields:

The {Find} box retrieves a single account regardless of the filter.

Besides {Account} and {Name}, the list shows the columns {Code}, {Show in list}, {Settings}, {Analytics} and {KPI} with the values of the account fields of the same name.

Buttons

Next to the list:

The Account dialog shows only the buttons valid for the dialog mode: the Add dialog shows SAVE only, the Edit dialog all three.

Data tabs

The Account dialog, opened from the list to enter or edit a single account, is divided into two data tabs:

Limitations

The following rules apply when entering account settings and analytics:

Setting the Profit centre analytic on all revenue and expense accounts is recommended. Posting by profit centre is performed only in companies with the G_MTP setting enabled (balance sheet kept by profit centre), so the same chart serves both companies that keep profit centres and those that do not.
Setting Open items on an account afterwards has no effect on earlier postings — their lines have no “open” amount, so they will not appear among open items.
